Ministry Scheduling - Setting Up Mass Schedule (Service Maintenance)

The second step in setting up Ministry Scheduling is to set up all your Masses for a given weekend.  If you have extra seasonal Masses that only occur during the summer, or you add additional Masses for Christmas and/or Easter, for instance, you can uncheck the Inactive button to omit them from a schedule run without having to delete the Mass.  When you need to include the extra Masses simply uncheck the Inactive box and it will be included in the next scheduled run.  

1.    Scroll to Scheduling > Service Maintenance > New Service.  Fill in a description of the Mass (For parishes who are part of a cluster and/or collaborative and will be using the Multi-Parish function, you will need to create Services for each church. Your service description might look like this; St. Mary's Sat 4:30 Mass, St Bernadette Sat 5:00 Mass, and so on.), choose a Mass time and day of the week in the dropdown menus.   Hit Save.  The Inactive box is what you will check if you want to omit this Mass when generating the scheduling grid.

2.    For each Service that you created, you will need to set up the ministry requirements for each Mass.  You can see in the above screenshot that you can open each Service by clicking on View.  This is where you define the Ministries and the number needed at each Mass. When you click on View the following screen will appear and you will click on New Service Ministry.

3.    The following pop up box will appear.  The shaded blue area shows you the Mass that you are working on.  This blue box cannot be altered. Select the ministry committee from the drop-down box and select the number of ministers that are needed for that Mass.  The last box is the priority scheduling box.  Gabriel will use schedule priority to determine which ministers to assign first to a given Mass.  For example, you may want to have Altar Servers as priority 1, Lectors as priority 2, and Eucharistic Ministers as priority 3.  Gabriel will first assign Altar Servers to a Mass, then Lectors, then Eucharistic Ministers.  HitSaveand continue to do this for each Mass that you have created. 

Note:  At any time you can edit any of the fields in Service Information. You can change the number of ministers that are required at each Mass, change the priority, select inactive if you do not need a particular ministry or if there are additional ministries that are now required you can add them in.  Some churches schedule their Deacons at Mass or maybe you want to schedule Greeters or Ushers.
